Embracing Digital Innovation: My Journey from Project Management to Founding Paperless
The Catalyst for Change?
"Why?" This is a question I've encountered numerous times: Why did I transition from a flourishing career in Project Management to establish Paperless? The answer is rooted in a series of eye-opening experiences and a clear vision for the future of construction management.
During my tenure as a project manager, I frequently faced the daunting task of conducting incident or near-miss investigations. These investigations often necessitated deep dives into induction, training, and attendance records. However, I encountered a significant challenge: deciphering names and signatures in a paper-based system was not just difficult; it was nearly impossible.
A particular incident stands out vividly in my memory. An employee claimed to have broken their leg on-site but continued working for an entire week before mysteriously disappearing. Weeks later, we received a legal notice alleging that no training was provided to this individual. Given that this person was a supervisor responsible for daily briefings, one would assume proving their comprehension of work package plans, task briefs, and safe systems would be straightforward. However, we faced a major hurdle.
The only record available was the initial site induction. Astonishingly, the supervisor had not signed in once during their three-month tenure on site. All records of daily briefings and safe system work briefings had vanished with them. The result? A seemingly unwinnable case, leading to what I believe was a costly settlement agreement.

Digital Transformation Begins
This experience prompted me to experiment with various methods of digitising and automating site data capture. I started with a simple combination of a free PDF App and Google Forms to record timekeeping. This approach solved part of the problem by granting instant access to information. However, a significant challenge remained: centralising access to the data. The PDF editor, mirroring the handwritten process, did not resolve issues of legibility. Compiling this data into a training matrix was time-consuming, and we lacked a comprehensive view of each individual's training and timekeeping.
The trial was a success in digitising data capture, but it was clear we needed more.
Vision for a Unified Digital Solution
What we needed was a single application for onboarding, inductions, daily briefings, toolbox talks, and timekeeping. Such a solution would link data intrinsically, enabling site management to instantly verify an individual's competencies, training records, and medical conditions. Imagine the transformation from reactive to proactive safety management if we could instantly access any worker's records on site.
With over 20 years of experience across various sectors, I recognised this issue was not unique to my projects. This realisation was the driving force behind my decision to create a comprehensive digital solution.

The Paperless Revolution
At the forefront of industry transformation, Paperless has already been implemented in over 1,118 projects across 16 diverse sectors, showcasing its versatility and wide-reaching impact. Our clients are reaping substantial benefits from digitising workforce management processes. With features like pre-enrolment, competency management, online inductions, safety briefings, toolbox talks, checklists, and forms, Paperless is revolutionizing the way the construction industry operates. These innovations not only streamline operations but also significantly reduce the need for back-office staff to manage paper records. The result is an efficient, instant audit trail system, alongside saving supervisors an average of two hours per day, thereby enhancing overall productivity and operational efficacy.
