Digitising your Safety Processes doesn't only ensure compliance, but saves time and money
Managing safety compliance on any worksite can be very time-consuming, especially now that social distancing restrictions also need to be considered.
Nearly a decade ago, we asked ourselves – how can we streamline the safety training process, remove the need for physically passing pen and paper and create an instant audit trail of all training records?
With the first iPad release in 2010 and the many intuitive apps following, we started our first trials using 3rd party pdf apps. Although it was a leap forward, it did not provide smart data as we effectively replicated the paper world in digital format, with similar inefficient document management challenges.
Our aim was a near touchless interconnected system to record safety training, remove the need to pass pen and paper around for signatures. With no all in one solution available in the market, we decided to develop Paperless (as our clients call us).

Why go, paperless?
It has never been as important as now, to restrict physical contact to reduce the spread of Covid-19 while also protecting personal health information.Our Paperless App ticks all these relevant boxes and offers an affordable and streamlined approach to ensure safety compliance while protecting the construction workers, subcontractors, and personal data on the project.
To use Paperless, employees are registered onto the system and assigned a unique QR code for recording inductions, timekeeping, and safety briefings.
Any supervisor who needs to undertake a briefing can access the app from their smartphone or tablet and start the briefing. Uploaded briefings and forms can be annotated, and all attendees scanned in via their QR codes – while maintaining social distancing.
Site management and supervisors can see training, competency, and timekeeping records, ensuring everyone on site are trained and competent in the tasks they do.
Access to information is restricted based on user-level ensuring personal data remains secure and complies with GDPR.
Final thoughts
Traditional job site clock-in and briefing processes can be time-consuming and complicated to enforce, mostly using traditional methods involving paper-based forms or shared tablets that don't allow for social distancing and are a high risk to handle. Most market solutions are standalone, focus on static timekeeping devices, and are expensive to roll out across multiple projects and don't address the transient workforce problem.
Focusing on a mobile application provides flexibility as new features can be rolled out to all clients and users simultaneously, addressing specific user requirements or industry needs.
The construction industry has long needed a better way to manage timekeeping and safety briefings. Meeting the Covid-19 challenges of 2020 has accelerated contractors to take advantage of mobile and cloud technologies to keep employees safe and ensure compliance.
Paperless addressed this immediate need and is proud of the part we played in addressing the COVID-19 challenges, with 74 construction sites going live during the 2020 lockdowns with all training given remotely.
Our clients have reported improved social distancing, boosted productivity, and enhanced compliance, with some Supervisors claiming Paperless helped them save two hours per day.
