Whether personal information has to be provided by you, and if so why
The provision of the following information is required from you:
Name, Surname, email address, home address, telephone number, date of birth, National Insurance Number and Next of Kin contact details.
This is to enable us to do the following:
For Health and Safety compliance (requirement to keep HSE training records for min 5 years and Occupational health records for 40 years), for personal identification and verification purposes, sending order receipts, account verification, emergency contact details in the case of an emergency.
We will inform you at the point of collecting information from you, whether you are required to provide the information to us.
How long your personal information will be kept
We will hold your personal information for the following periods:
Name and address – 6 years to satisfy UK tax law; Name, date of birth and NI number – minimum 5 years to comply with HASAWA (HSE training records), any occupational health records shall be kept for up to 40 years in line with HASAWA; Next of kin, the address will be deleted once a project is archived. If the project is dormant for longer than 1 year, this information will be auto-deleted.
These periods are no longer than necessary in each case.

Our database is hosted at Amazon Web Service in Ireland. The developers are based in South Africa. They may need to access company data, accounts and information for quality assurance or routine maintenance. Some APIs that are embedded into Paperless Construction App is hosted in the USA.
Such countries do not have the same data protection laws as the United Kingdom and EEA. Whilst the European Commission has not given a formal decision that such countries provide an adequate level of data protection similar to those which apply in the United Kingdom and EEA, any transfer of your personal information will be subject to the terms of our certification under an approved certification mechanism as provided for in the GDPR that will safeguard your privacy rights and give you remedies in the unlikely event of a security breach (as permitted in accordance with Article 46 of the General Data Protection Regulations).
Any transfers to the following countries will be undertaken on the basis that that country, territory or one or more specific sectors in that country, or an international organisation ensures an adequate level of protection:
